  • In-Kind Donations: Goods or services (please contact us for approval before donating)

All online transactions are processed through secure, PCI-DSS compliant payment gateways. We do not store complete credit card information on our servers.

3. Recurring Donations

We offer the option to set up recurring donations (monthly, quarterly, or annually) to provide sustained support for our programs. By signing up for recurring donations, you agree to the following:

  • Authorization: You authorize us to charge your selected payment method on the scheduled date each billing cycle.
  • Receipts: You will receive an email receipt after each successful transaction.
  • Modifications: You may change your donation amount, payment method, or billing frequency at any time by logging into your donor account or contacting us.
  • Cancellation: You may cancel your recurring donation at any time. Cancellations will take effect within 5-10 business days. No further charges will be made after cancellation.
  • Failed Transactions: If a recurring payment fails, we will make up to two additional attempts. You will be notified of any failed transactions.

4. Refund Policy

We strive to ensure your donation experience is positive and transparent. Refunds are processed under the following limited circumstances:

4.1 Eligible Refunds

  • Donor Error: If you made an error in the donation amount (e.g., accidental double charge or incorrect amount), please contact us within 7 days of the transaction date.
  • Unauthorized Transactions: If you believe an unauthorized donation was made using your payment method, please contact us and your financial institution immediately.
  • Technical Errors: If a technical error on our Site resulted in an incorrect charge, we will refund the difference or the full amount as appropriate.

4.2 Non-Refundable Donations

  • Change of Heart: Donations are generally non-refundable once processed due to change of mind about supporting our mission.
  • Completed Transactions: Funds that have been successfully transferred and recorded in our system are typically non-refundable.

4.3 How to Request a Refund

To request a refund, email givingheartco4@gmail.com with "Donation Refund Request" in the subject line and include:

  • Your full name
  • Donation date and amount
  • Payment method used (last 4 digits of card, if applicable)
  • Reason for the refund request

Refund requests are reviewed within 10 business days. Approved refunds will be credited back to the original payment method within 5-10 business days.

5. Gift Acceptance Policy

GivingHeartCo reserves the right to accept or decline any donation based on our mission, values, and legal obligations.

5.1 Donations We Accept

  • Cash, checks, credit card payments, and electronic transfers
  • Publicly traded securities (stocks, bonds, mutual funds)
  • Employer matching gifts
  • In-kind goods and services that support our programs
  • Legacy/planned gifts (bequests, trusts, retirement plan designations)
  • Cryptocurrency (subject to volatility and liquidity considerations)

5.2 Donations We May Decline

  • Gifts that would violate applicable laws or regulations
  • Gifts with excessive conditions or restrictions that conflict with our mission
  • Gifts that would create an unacceptable conflict of interest
  • Illiquid assets that would be difficult to convert to cash (e.g., real estate, closely held stock) without prior review
  • Gifts from sources associated with illegal activities, terrorism, or money laundering
  • In-kind donations that we cannot reasonably use or that pose safety or liability concerns

5.3 Review of Non-Standard Gifts

All non-cash or significant gifts (over $10,000 value) are reviewed by our Gift Acceptance Committee before acceptance. We reserve the right to seek independent valuation or legal advice for complex gifts.

6. Tax Deductibility

GivingHeartCo is a nonprofit organization recognized as tax-exempt under Section 501(c)(3) of the Internal Revenue Code.

To the fullest extent allowed by law, your donations are tax-deductible in the United States. No goods or services were provided in exchange for your contribution unless expressly stated. If you receive any benefits (e.g., event tickets, merchandise), we will provide a good faith estimate of the fair market value, and only the excess amount is tax-deductible.

Important Tax Information:

  • You will receive an official donation receipt via email immediately after your contribution.
  • For donations of $250 or more, written acknowledgment is required for tax deduction.
  • For non-cash donations (e.g., stock, property, goods), you are responsible for determining fair market value. We will provide a written acknowledgment of the gift description but do not provide valuations.
  • Consult your tax advisor regarding the deductibility of your specific donation.

  • Be informed whether those seeking donations are volunteers, employees, or third parties
  • Unsubscribe from mailing lists or communication at any time
  • Ask questions and receive prompt, truthful answers

We are committed to transparency. Our annual reports, audited financial statements, and IRS Form 990 are available on our website or upon request.

8. Fraud Prevention and Security Assurance

We take fraud prevention and data security seriously. Our safeguards include:

  • Encryption: 256-bit SSL/TLS encryption for all donation transactions
  • PCI Compliance: Our payment processors are PCI DSS Level 1 compliant
  • Tokenization: Recurring donations use tokenization, meaning we do not store full card details
  • Fraud Monitoring: Real-time fraud detection systems flag suspicious transactions
  • Address Verification: AVS and CVV verification for credit card transactions
  • Regular Audits: Security audits and vulnerability scans are conducted regularly
